01 · Strategic Overview & Problem
The Challenge & Design Objective
The Core Friction
Gated residential communities struggle with chaotic physical visitor logbooks, delayed maintenance dues collections, lost complaint tickets, and high friction between residents and security guards.
The UX/UI Solution
Delivered a centralized community ERP featuring rapid QR-based visitor check-ins, automated digital maintenance invoicing, and an audited helpdesk ticketing pipeline with SLA guarantees.
My Design & Architectural Responsibilities
Lead Systems Architect: Designed the multi-role security permissions model (Resident, Guard, Committee, Auditor).
Guard Tablet UX: Designed high-contrast, oversized touch interfaces for guard gate consoles.
Billing Flow Specialist: Engineered automated invoice generation and reconciliation ledger.
02 · Target Audience & Empathy Mapping
User Persona & Behavioral Flow
Ananya Bhattacharya
Resident Welfare Association (RWA) Secretary & Resident (320-Unit Community)
“Managing a 320-flat society using WhatsApp groups and paper receipts was exhausting. Residents complained about water leakages slipping through cracks, and guards couldn't read handwriting in visitor registers.”
Critical Pain Points & Friction
- Uncollected maintenance arrears exceeding ₹12 Lakhs due to manual paper receipt tracking
- Delivery drivers held up at the gate for 3-5 minutes causing delivery delays and long vehicle queues
- Plumbing and electrical complaint tickets lost or unresolved with no vendor accountability
Core Goals & Desired Experience
- Automated maintenance billing with 1-tap UPI payment links and instant ledger reconciliation
- 12-second digital QR visitor pass check-in operable by guards on ruggedized outdoor tablets
- Audited helpdesk with automated 24-hour SLA timers and vendor job completion photo proof
End-to-End User Journey Mapping
Phase 1 · Digital Guest Pre-Approval & Gate EntrySeamless & Hospitable
Resident pre-approves dinner guests via app, generating a 6-digit passcode and QR pass sent via WhatsApp; guard scans pass at gate in 6 seconds.
Friction: Guards calling residents via intercom while guest waits at the boom barrier.
UX Solution: Automated boom barrier lift upon QR match with real-time push confirmation to resident phone.
Phase 2 · Maintenance Invoicing & Instant ReconciliationClear & Trusting
On the 1st of the month, resident receives digital breakdown (water, elevator, sinking fund) and taps 'Pay ₹4,250 via UPI'; ledger reconciles instantly.
Friction: Opaque calculations and waiting weeks for physical paper receipt stamps.
UX Solution: Itemized cryptographic digital receipt generated instantly with audited society accounting ledger sync.
Phase 3 · Resident Grievance & SLA ResolutionReassured & Satisfied
Resident reports corridor bulb failure with a photo; ticket auto-routes to verified electrician with 4-hour SLA timer; fixed photo confirmed before ticket close.
Friction: Complaints forgotten in WhatsApp chats with no owner assigned.
UX Solution: Audited Kanban pipeline with strict timer alerts and mandatory resolution photograph verification.

Field Ergonomics
Low-Fidelity Architecture: Rugged Guard Tablet vs Cluttered Mobile Apps
Designed high-contrast, oversized 64px button targets tailored for security staff operating under direct sunlight.
Key Ergonomic Decisions:
Enforced high-visibility black-on-yellow and white-on-slate button contrasts passing outdoor glare testing
Simplified guard workflow into 2 big touch targets: 'Scan QR' and 'Manual Vehicle Entry'
Resident Experience
High-Fidelity Polish: Clean Card Ledger & Audited Status Badges
Created transparent, trustworthy card structures displaying maintenance breakdown and complaint SLAs.
Key Ergonomic Decisions:
Implemented clear dual-state color tokens: Emerald for cleared dues/resolved tickets, Amber for pending actions
Included 1-tap download for audited annual financial statements and society bylaws

06 · Engineering Rationale & Results
Key Technical Decisions & Business Impact
High-Contrast Guard Interface Ergonomics
Rationale: Security guards working outdoors under direct sunlight struggled with small text and subtle gray colors.
Outcome: High-contrast, 64px touch target buttons reduced visitor check-in time from 90 seconds to under 12 seconds.
Offline-Tolerant Gate Check-In Queue
Rationale: Security gate Wi-Fi occasionally drops, which cannot halt physical gate vehicle entry.
Outcome: Local queued synchronization ensures zero gate congestion during network interruptions.
Measurable Results & ROI
92% on-time maintenance payment collection via integrated automated reminders
Visitor gate entry processing time reduced from 90s to under 12s
100% resolution tracking of resident helpdesk tickets within documented SLAs
